About us:                        We are a small Essex based charity helping the community engage in creative art and craft activities to maintain and improve their mental health and well-being. The core of our service provision are weekly sessions for children and adults with special needs, adults with physical, visual and/or mental health issues. We provide creative activities at numerous local community events.

 

Job role:                          Charity Operations Manager

 

Job role summary:        The Art Ministry needs an experienced operations manager to help us meet the day to day demands on our charity and to take advantage of the opportunities and deal with the challenges that are ahead of us. They will work with the trustees to secure long term funding for the role.

 

Salary:                              £18,304 part time, equal to £33,280 full time

 

Hours per week:            22 hours, flexibility is required to be able to attend sessions, events and meetings  throughout the day, occasionally including evenings and at weekends but we will work with the job holder to ensure that there is one work free weekday each week. Some home working will be allowed, such as for administrative tasks

 

Holiday:                           15.5 days, including bank and public holidays

 

Benefits:                          3% employer pension contribution after 3 months

 

Contract:                         6 months probationary period, with the role being made permanent, dependent on  performance and securing additional funding

 

Reports to:                      Chair of Board of Trustees

 

Responsible for:             All employees and volunteers

 

Key relationships:          Trustees, volunteers, clients, partners, funders, local community groups, schools, colleges, local councils, landlords and local businesses

 

Location:                         South east Essex

 

Transport:                       Own vehicle required, with business use extension

JOB DESCRIPTION

 

Key Objectives

 

To provide strong leadership, direction and management in relation to all aspects of the Charity's   activities, including service provision, volunteering and fundraising

 

To represent the Charity in various public contexts and to develop and maintain relationships with key external partners and agencies

 

To facilitate the continued expansion and development of the Charity's services through effective partnership working and increasing current and other potential income streams

 

To manage the implementation of the Charity's strategic plan and to develop and manage annual operational plans, ensuring they are continually the central drivers of the Charity's work

 

Principal Accountabilities

 

Providing clear leadership, direction and management for the Charity, its employees and  volunteers

 

Acting as a source of inspiration, motivation and support for all employees and volunteers

 

Ensuring all employees are set annual objectives which are regularly reviewed, and receive an annual  appraisal

 

Preparing and implementing annual operational plans which reflect the agreed strategy of the Charity, and develop and maintain systems to monitor the progress of those plans

 

Working with the Board to ensure the good governance of the Charity

 

Ensuring that the legal requirements of the Registered Charity are met

 

Attending and reporting to the Board as required

 

Reporting management information to the Board in a timely and accurate manner, to reflect the service delivery and other achievements of the Charity

 

Ensuring the timely production of papers, reports and minutes as required

 

Ensuring that the Board are kept abreast of changes in legislation, policy and other drivers of the Charity's work

 

Ensuring the continued development, quality levels and effectiveness of service delivery

 

Developing and maintaining a thorough knowledge of service provision for our client base

 

Evaluating services to ensure that an efficient, effective, quality service is being provided

 

Facilitating consultation with clients to ensure that their needs are met

 

Monitoring demand for services and managing resource allocation

 

Evaluating, costing and implementing new initiatives and service delivery opportunities

 

Ensuring that, where contracts are in place for service delivery, all contractual requirements are met

 

Developing and maintaining relationships with external agencies and partners

Increasing the Charity's profile, reach and influence

 

Representing the charity’s aim and services in the wider context of the local third sector, and participating in partnership meetings and other forums as relevant

 

Positively representing and promoting the Charity in all its dealings with external agencies

 

Ensuring compliance across all media with the Charity's brand guidelines, including online and in print,

 ensuring that all output is of the highest quality and reflects well on the Charity

 

Managing overall editorial function of the Charity's newsletter, website and social media channels

 

Overseeing the fundraising function, and managing, developing and reporting on the Charity's income streams

 

Building and maintaining excellent relationships with existing and potential statutory and voluntary sector funders in order to maximise income from these sources

 

Ensuring the effective management of existing income-generating service delivery contracts, including the timely reporting to funding bodies as required

 

Leading on and actively engaging in the development, planning and delivery of a fundraising strategy to maximise income in order to secure the long-term future of the Charity and to ensure that financial targets can be met

 

Building and maintaining profitable long-term relationships with current and potential donors/supporters in order to grow existing funding streams

 

Building on existing fundraising activity and developing new and imaginative fundraising activities

 

Increasing funds through researching and targeting grant-making charitable trusts and foundations whose criteria match the objectives of the Charity

 

Providing the HR, safeguarding and finance functions of the Charity

 

In conjunction with the Board, taking responsibility for ensuring excellent practice in all aspects of HR including:

 

Recruiting, training, developing and appraising staff

 

Carrying out an annual appraisal for each employee

 

Maintaining and developing Employee, Volunteer, and Safeguarding handbooks and policies

 

Ensuring that employee and volunteer resources are used as effectively and efficiently as possible, aiming for maximum levels of service provision

 

Maintaining and building on the strong shared sense of identity, culture and team working that   already exists within the Charity

 

In conjunction with the Trustee Treasurer, take responsibility for ensuring an effective performing finance function including:

 

Producing the annual budget for approval by the Board

 

Reporting of management information to enable monitoring of financial performance against that budget

 

Producing accounts and annual returns to enable the Board to fulfil its statutory reporting requirements.

 

Liaising with external auditors

 

Producing reports of expenditure utilisation as required by funders

 

Preparing costings for existing and proposed activities

 

Ensuring that expenditure is properly approved, recorded and managed in line with agreed  budgets and the Charity's policies

 

In conjunction with the Designated Safeguarding Lead, ensuring that Safeguarding procedures are kept up to date and adhered to

 

Working with the Board to ensure adequate internal controls are implemented in order to minimise the risk of waste or fraud

Overseeing Health and Safety and Risk Management

 

Maintaining and developing operational and strategic risk management plans
